Job description

The Facility Manager role is responsible for organising and coordinating office management and facility management administration in Endava offices in Vietnam, including activities and procedures to ensure organisational effectiveness and efficiency.  

An important part of the role is to build strong relationships with Endava’s stakeholders, employees as customers and external parties such as suppliers and landlords. 

Key job responsibilities: 

1.Budgets and reporting: 

  • Prepares operational (Facility and Property) and capital expenditure budgets and manages all associated costs;

2. Office Administration: 

  • Line Manager & Career Coach for the Office Managers/Assistants; 
  • Identify areas of improvement in existing or future offices, propose budgets and contribute to the implementation of approved investments; 
  • Ensure health and safety standards and compliance with the law; 

3. Building management: 

  • Accountable for proper maintenance for all the building(s), maintain or arrange to replace existing equipment as required; 
  • Support sustainability/ environmental initiatives to reduce the environmental impact of the building; 

4. Procurement: 

  • Ensures all the contracts in Facility and Office Management area are aligned with company policies; 

5. Property: 

  • Support lease negotiations, in particular space handover conditions, schedules, landlord/tenant responsibilities, work specifications, work supervision, certification, warranties etc; 
  • Coordinate office decommissioning, subletting preparation and office relocation activities. 

6. Complete other tasks as deemed necessary;

Job requirements

  • A bachelor’s degree in civil engineering, architecture, or related field and at least 5 years’ experience in similar role; 
  • Solid experience in project management as well as knowledge of construction and administrative contracts, budgets, schedules, reporting, quality and risk; 
  • Knowledge about current regulations and legal requirements in facility management. 
  • Strong analytical, management and organizational skills; 
  • Proven influencing and negotiation skills; 
  • Excellent interpersonal and communication skills, ability to work collaboratively and efficiently manage a variety of stakeholders at all levels in multi-cultural environment; 
  • Good command of English; 
  • Ability to travel as required.
